Preparing image files for Port Now!

This information is for members preparing image files for the Port Now! exhibition.

In order to facilitate production of the exhibition booklet, all participants are required to submit their image files to the selection panel in the following format. The files are required, complete with embedded metadata (including captions) by January 9, 2010.

Can't get all the captions ready in time?
OK. Submit your 'A' grade images with captions. If all of your captions aren't complete or adequate for the exhibition booklet there may be an opportunity to submit additional copies of your images - that are selected for the exhibition - later, with the appropriate captions included then.

IMPORTANT: The selected image files must eventually be submitted complete with the required, embedded metadata. Files that don't comply cannot be included in the exhibition. The booklet and gallery cards cannot be produced without the metadata. Sorry to labour the point, but the print layout and production needs to be automated because we don't have time, money or enough human resources to do it long hand.

How to create a JPG file for Port Now!

The files that you submit by 9 January will be used to produce the final prints for the exhibition. They will also be used to prepare the exhibition booklet and gallery cards. The Committee will do all the work to resize the images for the booklet and the gallery cards.

After you've entered the required metadata, save your Photoshop master file.

Then generate a JPG version suitable for printing at the exhibition size. Generate files the way you'd normally generate a file to print for club competition, only make it bigger to support the exhibition requirements.

• Maximum size of mounts is 50x40cm
• Minimum width of mat board around image is 4cm
• Maximum size of image (print) is 42x32cm
  The Committee suggests that 40x30cm prints will be adequate and allow a slightly wider mat around the print. This may make the prints and mounts hang better with less buckling.

Image file specification

• sRGB colour profile
• Maximum size of image (print) is 42x32cm at between 240 and 300 ppi (pixels per inch)
• Note: When you save your image as a JPG file, do not use the File>Save for web (or equivalent) method. This method strips the metadata out of the resulting JPG file!
  You must save your file as a JPG using the following method:
  File>Save as> (and choose JPG format, and a quality setting of 10 or above)
  
  Correction! Courtesy of Ian Dodd. If you have Photoshop CS4 you can 'save for web' your image as a JPG and you can tick a box to save the metadata.

Naming your image files

• Prefix all of your files with an 'A' or a 'B'
  'A' images are those which you consider are the best of your submission series
  'B' images are those that you consider are you lesser images but you're happy for them to be considered by the selection panel.
  Some may be considered better than some of your 'A' images by the selection panel.
• Follow the prefix with your Member number
• Follow your member number with a title for the image (no spaces please)
